Responsible AI Policy

Purpose and Scope

PepperDash Portal uses Artificial Intelligence (AI) to help organizations manage, monitor, and understand their audiovisual (AV) infrastructure more effectively. This policy explains how PepperDash designs, deploys, and governs AI capabilities within PepperDash Portal. It applies to all AI features available in the platform, including natural language queries and automated reporting, as well as any future AI enhancements.

Commitment to Responsible AI

PepperDash is committed to using AI responsibly. Our approach is guided by five principles:

  • Transparency – We disclose when and how AI is used in PepperDash Portal.
  • Fairness – We design and test AI features to minimize bias and ensure consistent performance.
  • Privacy and Security – We protect customer data through strong encryption and strict access controls.

Use of AI in PepperDash Portal

PepperDash Portal currently uses AI to:

  • Interpret natural language queries to help users find information about their own systems.
  • Generate automated reports summarizing system performance and status data.

AI in PepperDash Portal only reads and processes information within a customer’s own environment. It does not access, combine, or learn from data belonging to other organizations.

AI does not make autonomous changes to physical devices or alter system configurations.

All operational actions remain under the direct control of authorized users.

As AI capabilities evolve, PepperDash will maintain this same commitment to security, transparency, and human oversight before introducing any functionality that interacts directly with AV systems.

Data Privacy and Security

PepperDash applies the same rigorous standards for AI data handling as for all customer data.

  • AI models only access data necessary to perform their intended function.
  • Data used for improving AI performance is aggregated within the organization.
  • PepperDash does not sell, share, or use customer data from one organization to train models for another.
  • If PepperDash introduces cross-organization data aggregation in the future, customers will have the ability to review and opt out of participation.
  • All AI operations comply with PepperDash’s SOC 2 controls and internal data governance policies.

Human Oversight

AI in PepperDash Portal is designed to assist, not replace, human decision-making. All AI-generated insights are presented for review. Users remain responsible for interpreting results and taking action based on their professional judgment.

Bias and Fairness

PepperDash evaluates AI outputs for potential bias and unintended outcomes. We use representative, enterprise-relevant data to train and test AI models and continuously monitor results to maintain fairness, accuracy, and reliability.

Transparency and Explainability

When AI contributes to a feature or result, PepperDash provides clear indicators so users understand when they are interacting with AI-generated content.

Where possible, PepperDash Portal explains how an AI output was generated, allowing users to assess the reasoning behind recommendations or summaries.

Continuous Improvement and Audit

PepperDash conducts regular reviews of AI features to ensure they:

  • Remain aligned with PepperDash’s ethical standards.
  • Meet internal accuracy and performance benchmarks.

User Rights and Feedback

Users may request clarification about how AI features operate or the data they use.

PepperDash provides mechanisms for users to:

  • Submit feedback or concerns about AI-generated content.
  • Request correction or removal of inaccurate data.

All requests are reviewed and addressed in accordance with PepperDash’s privacy and compliance policies.
